Synopsis

We are seeking Assistant Recruiters to join our growing organisation. The successful incumbents be responsible for providing efficient administrative support, professional and quality research as well as identification of quality candidates in support of the Lead Recruiter and the team.

Description

Provide effective and efficient administrative support:

General Administration:

  • Maintain the teams’ filing system
  • Submit accurate activity reports on behalf of the Lead Recruiter
  • Book weekly candidate interviews on behalf of the Lead Recruiter
  • Send interview confirmations to candidates on behalf of the Lead Recruiter
  • Greet and explain the interview process (application forms, fingerprinting, etc) to the candidate in the absence of a Lead Recruiter
  • Ensure that telephone calls and emails are dealt with
  • Compile and distribute administration meeting minutes as and when required to do so
  • Ensure that desks on cluster are tidy and that candidate files are sent to filing
  • Conduct the required background checks
  • Ensure that all of the relevant and up to date documents have been received from the candidate
  • Request the required checks as per client SLA’s and within the required timeline
  • Assist with reference checks of the candidates
  • Capture candidate data on in-house system and ensure that CVs are accurate
  • Scan candidate pack into in-house system
  • Ensure that all of the candidates document as well as the candidate reference have been uploaded to the in-house system
  • Provide professional and quality research and recruitment support: Advertising and response handling
  • Write and publish job advertisements on the relevant portals for the Lead Recruiter
  • Manage advert response handling and ensure regrets are sent to the relevant candidates

Marketing:

  • Assist with any internal campaigns
  • Assist with client gifting and delivery
  • Co-ordinate social media accounts and/or whatsapp groups
  • Prepare client visit packs as and when required

Manage electronic alerts on job portals:

  • Register alerts on identified sites
  • Action alerts daily
  • Identify quality candidates (in consultation with the Lead Recruiter)
  • Schedule the Lead Recruiter’s weekly candidate interviews
  • On receipt of a Research Assignment clarify job with Team Leader
  • Conduct research and identify quality candidates for allocated job specs or for pipeline purposes
  • Identify quality candidates within the allocated specialisation
  • Provide new client leads with summary of research per client per week
  • Capture research done on in-house system

Ensure quality and accurate records are maintained within the required timelines:

  • Adhere to company processes in relation to the ATS system
  • Obtain the required information on all jobs received and complete and forward to the relevant parties
  • Obtain Partner Requisition (PR) form sign off from relevant parties and upload signed PR form onto ATS
  • Ensure that all of the Lead Recruiters' candidates have been categorised on ATS
  • Capture all of the CV's sent to the client on ATS
  • Capture the CV's uploaded onto client websites or portal on ATS
  • Ensure that all interviews are captured on ATS
  • Ensure that all offers letters are captured on ATS
  • Close jobs on in-house system
  • Maintain/update any client and/or candidate information on ATS
  • Create and maintain candidate records within 24 hours after interview
  • Record calls to either candidates or clients on ATS
  • Upload reference checks on ATS
  • Ensure that the ATS is updated in terms of client, job or candidate information changes and updates

Drive Operational Efficiency to create value:

  • Drive Internal and External client satisfaction
  • Adhere to Client Service Level Agreement (SLA) requirements
  • Adhering to company policies and procedures
  • Submit the required reports on time (CV typing, Research, Daily Activity, Advert Response, Placement, Client Contact and Gifting and Alert Reports as well as any other report as required from time to time)
  • Conducting oneself in line with company values therefore enhancing company culture

 

Requirements

Educational Requirements:

  • Matric
  • Relevant Degree/Diploma

Experience Requirements:

  • 0-2 years’ experience
  • Strong administrative skills
  • Previous sales or recruitment experience advantageous
